Mandatory KSeF – last call for preparation

The statute making the National e-Invoicing System (KSeF) mandatory was promulgated on 1 September 2025. This is a revolution – digitalisation of invoices becomes a fact and businesses have little time left to get ready for the new rules.


When does it start?
  • 1 February 2026 – mandatory for enterprises whose sales including VAT exceeded 200 million zloty in 2024;
  • 1 April 2026 – mandatory for almost all other taxpayers.

These dates apply to mandatory issuing of structured e-invoices, but not to receiving such invoices. Consequently, generally all taxpayers must be ready to accept invoices issued in KSeF on 1 February 2026. 

Why does it matter? 


KSeF overhauls the way of issuing, accepting and storing invoices. A failure to implement it in your business may translate into accounting problems, delayed payments and even financial sanctions. The system requires integration with your finance and accounting systems, staff training and adjustments to processes.

What's next? 


The Finance Ministry has announced testing of KSeF 2.0 – a new API will be available from 30 September 2025. The Certificate and Authorisation Module (abbreviated in Polish as MCU) will launch on 1 November to allow assignment of authorisations to system users. They will be indispensable to using the National e-Invoicing System after 1 February 2026. The module will also enable applying for and downloading certificates.
